We collect or use the following information to provide and improve products and services for clients, to operate customer accounts, to comply with our legal obligations, for recruitment purposes, for marketing, and dealing with queries, complaints or claims:

  • employment details (including salary, sick pay and length of service); and

  • criminal records data (including driving or other convictions).

Your right of access - You have the right to ask us for copies of your personal information. You can request other information such as details about where we get personal information from and who we share personal information with. Our lawful bases for the collection and use of your data 

Under UK data protection law, we must have a “lawful basis” for collecting and using your personal information. There is a list of possible lawful bases in the UK GDPR. You can find out more about lawful bases on the ICO’s website. 

Which lawful basis we rely on may affect your data protection rights as above.

Our lawful bases for collecting or using personal information for the above given purposes are: 

  1. Consent - we have permission from you after we gave you all the relevant information. All of your data protection rights may apply, except the right to object. To be clear, you do have the right to withdraw your consent at any time. 

  2. Contract – we have to collect or use the information so we can enter into or carry out a contract with you. All of your data protection rights may apply except the right to object. 

  3. Legal obligation – we have to collect or use your information so we can comply with the law. All of your data protection rights may apply, except the right to erasure, the right to object and the right to data portability. 

Where we get personal information from 

Directly from you when you complete a form on our website or other online form or when we communicate with you by email, phone or in other ways (such as video meetings).

Third parties

We collect data from third party websites specific to the accountancy and recruitment industries. Examples of such websites are LinkedIn, Indeed, and websites managed by the accountancy firms that we work with. 

How long we keep information and how we store it 

Your data will be retained by the business in accordance with GDPR until you advise that you would like to be removed either via telephone or email. Data is stored via the company database, managed by Vincere software. We may also store your data on our website, supplied by Squarespace; on our email system and on local hard drives. We may, rarely, have hard copies of information you have provided (such as paper copies of certificates, references etc).

If you request data removal we will securely destroy and/or delete all such data unless there are legal reasons why we cannot. If this is the case, we will inform you.

Others we share personal information with 

  • Accountancy practices.

  • Job search websites such as Indeed.

How to complain 

If you have any concerns about our use of your personal data, you can make a complaint to us using the contact details at the top of this privacy notice. 

If you remain unhappy with how we’ve used your data after raising a complaint with us, you can also complain to the ICO.
